The English Federation for Correspondence Chess (EFCC) is committed to protecting and respecting personal data. This policy explains when, how, and why we collect personal data about people.

Who we are

The EFCC is the English National Federation for correspondence chess, and is recognised as such by the ICCF (International Correspondence Chess Federation).

How we collect your information

The EFCC does not have individual members, so no individual membership data is collected or stored. All our members are Correspondence Chess Clubs located within the United Kingdom.
EFCC does obtain data about individuals through our Patronage scheme, and is provided by the individuals directly. Our website uses cookies but we do not collect personal data simply as a result of a person visiting our website.


Information for Patrons

What public information do you store about me?

We store your name, postal address, email address** & telephone number**. We also store details of payments received & dates. ** Not compulsory information.

Why do you need to record this information?

Name, addresses and telephone numbers are stored so that EFCC officers & officials can contact you in respect of EFCC business.

Who has access to my name?

The EFCC Secretary maintains a database of all Patrons. If necessary to EFCC business, this database may be shared with other EFCC officers and officials. The EFCC website also lists the names of all current Patrons.

Who do you share my name with?

The EFCC website has free access open to anyone.

Can I remove my name from your records?

Yes. If you wish to cease being a Patron of EFCC, then your name will be removed from all databases & the website within 30 days.

How your information is used

The personal data we obtain is applied for the following purposes, namely to:
  * Obtain payment of annual Patron fees to fund the operation of the EFCC.
  * Advise Patrons of EFCC business including the Annual General Meeting.
  * Maintain communication with Patrons to ensure they wish to remain advised of business & continue to be listed as Patrons.

Consistently with this, the contact details provided to us by Patrons may be used to contact them by mail, telephone, e-mail for the purposes of the EFCC.

We will hold personal data for as long as a person is a Patron and for six years afterwards. After that, all records are deleted that are held on the personal computers of officers.

Please note that when payments are made to the EFCC using PayPal facilities, personal information is provided to PayPal and not the EFCC and is subject to the PayPal Privacy Policy.


Information for Players

What public information do you store about me?

The EFCC International Secretary maintains a database of players who may be willing to represent England in Friendly matches or International Team tournaments. Information will be limited to Name and email address. The EFCC International Secretary may share this information with other EFCC officers or officials if assistance is needed.

The EFCC Treasurer maintains a record of payments received in respect of Tournament entries.

Why do you need to record this information?

Name and email address are stored for the reasons stated in “What public information do you store about me” immediately above.

Who has access to my name?

EFCC officers & officials. Any visitor to the ICCF website can view this information; it will also be attached to chess games and rating lists downloaded from the ICCF website.

Who do you share my name with?

The EFCC and ICCF websites has free access open to anyone. Anyone may download a database of chess games from the website, and these games may be included in any commercial and non-commercial database of chess games.

Can I remove my name from your records?

Yes. Upon request, your name will be expunged from all databases held by EFCC officers and officials within 30 days.

In ICCF, who has access to my records?

ICCF has its own Privacy Policy – see their website.

Please note that when payments are made to the EFCC using PayPal facilities, personal information is provided to PayPal and not the EFCC and is subject to the PayPal Privacy Policy.


Information for Representatives of Member Correspondence Chess Clubs

What public information do you store about me?

The EFCC Secretary maintains a database of affiliated organisations together with contact details (name & email address) of appropriate officers.
The EFCC Treasurer maintains a record of payments received in respect of affiliation fees.

Why do you need to record this information?

Name and email address are stored for the reasons stated above.

Who has access to my name?

The EFCC Secretary may share your details with other EFCC officers or officials for reasons of day to day business.

Who do you share my name with?

As above.

Can I remove my name from your records?

Yes. Upon request, your name will be expunged from all databases held by EFCC officers or officials within 30 days.

Who can access information?

Unless required by law, we do not sell, rent or otherwise share personal data with other third parties.

Where is my data stored?

On the personal records and computers of EFCC officers and officials.

Rights

Individuals can ask for a copy of the data we hold about them. If an individual provides information about another person, it is their responsibility to ensure that the other person has given their explicit consent to the processing of their personal data.

Should you have any unresolved complaints about the way we process your personal data, you have the right to make a formal complaint to the Information Commissioner’s Office (ICO).
